Webinar Marketing: Planning, Promotion, and Follow-Up
Webinar marketing: topic selection, registration optimization, promotion, attendance, engagement, recording, follow-up, and content repurposing.
Webinars generate high-quality leads because attendees voluntarily spend 30-60 minutes learning about a topic related to your expertise. The registration, attendance, and engagement data provide strong signals for lead qualification.
Topic selection: choose topics that address specific problems your target audience faces. Educational content performs better than product demos for attracting new audiences. The topic should naturally lead to your solution without being a sales pitch.
Registration page: the registration page is a landing page — optimize it accordingly. Clear title, specific outcomes attendees will gain, speaker credentials, date and time with timezone, and a simple registration form. Limit form fields to name and email; add company and role only if essential for sales follow-up.
Promotion timeline: start promoting 3-4 weeks before the event. Use email (your list), social media (organic and paid), partner promotion (co-host or guest speakers sharing with their audiences), and website banners. Send registration reminders at two weeks, one week, and one day before.
Attendance rate optimization: expect 30-50 percent of registrants to attend live. Increase attendance with calendar invitations, email reminders (day before and one hour before), and SMS reminders for mobile-first audiences.
Engagement during the webinar: use polls, Q&A, and chat to keep attendees active. Passive viewing leads to early drop-off. Ask questions that segment the audience — their answers provide sales intelligence. Save the most valuable content for the second half to discourage early exits.
Recording and on-demand: record every webinar and make it available on-demand. Send the recording to registrants who did not attend. Gate the on-demand version to continue capturing leads after the live event.
Follow-up sequence: send a thank-you email within 2 hours of the webinar with the recording link and any promised resources. Follow up with attendees and no-shows differently. Attendees who asked questions or responded to polls are your warmest leads — route them to sales immediately.
Repurposing: extract blog posts, social media clips, email content, and slide decks from each webinar. A single webinar can generate weeks of content across channels.
