Email Deliverability: Getting Into the Inbox

Email deliverability determines whether your emails reach the inbox, land in spam, or get blocked entirely. Strong deliverability is the foundation of email marketing — none of your campaigns matter if they never reach subscribers.
Sender authentication: implement SPF, DKIM, and DMARC for your sending domain. These authentication protocols verify that emails are legitimately sent from your domain and have not been tampered with. Without them, inbox providers are more likely to flag your emails as suspicious.
Sending reputation: inbox providers (Gmail, Outlook, Yahoo) assign a reputation score to your sending IP and domain based on engagement, complaint rates, and bounce rates. A poor reputation means your emails go to spam regardless of content quality.
List hygiene: remove invalid addresses, hard bounces, and long-term non-engagers regularly. Sending to invalid addresses increases bounce rates. Sending to disengaged subscribers decreases engagement rates. Both damage your sender reputation.
Warm-up process: when sending from a new domain or IP, start with small volumes to your most engaged subscribers and gradually increase. Suddenly sending thousands of emails from a new address triggers spam filters. A warm-up period builds reputation gradually.
Content factors: avoid spam trigger words in subject lines and body copy. Maintain a healthy text-to-image ratio. Include a plain-text version alongside HTML. Use a recognizable from name and consistent from address.
Engagement signals: inbox providers track how recipients interact with your emails. Opens, clicks, replies, and forwards signal positive engagement. Deletes without opening, marking as spam, and ignoring signal negative engagement. Send emails people actually want to receive.
Infrastructure: use a reputable email service provider with good IP reputation. Consider a dedicated sending IP if you send more than 100,000 emails per month. Dedicated IPs give you full control over your sending reputation.
Monitoring: track deliverability metrics — inbox placement rate, bounce rate, spam complaint rate, and blacklist status. Use tools like Google Postmaster, Microsoft SNDS, and third-party deliverability monitors to catch issues before they impact campaign performance.
